How Aric Software & Design collects, uses, and protects personal information across our website, our software platforms, and our text messaging program.

Effective date: October 1, 2026

Who we are

Aric Software & Design, Inc ("Aric", "we", "us") is a government technology company based in Macon, Georgia. We provide software and services to municipal, county, and state government customers, including the Aric Assessment Portal, our fleet operations platform, and the Aric Communication Service that delivers notifications on behalf of our platforms. This policy covers our public website, those platforms, and our text messaging program.

Information we collect

We collect only what we need to provide our services:

  • Contact information you give us, such as your name, email address, and organization, when you contact us through this website.
  • Account information for users of our platforms, typically provided by the government organization that employs you: your name, work email address, and role. Accounts are created by invitation; we do not offer open self-registration.
  • Mobile phone numbers, only when a user enters their own number and gives explicit consent to receive text messages, as described in the text messaging section below.
  • Usage and log data generated by our platforms, such as sign-in events and actions taken, which we keep for security, auditing, and support.

How we use information

We use personal information to operate our platforms, deliver the notifications users have asked for, respond to inquiries, provide support, maintain security and audit trails, and meet our contractual obligations to our government customers. We do not sell personal information, and we do not use it for advertising.

Text messaging (SMS) program

Aric sends transactional text messages to enrolled users of our platforms: assessment status updates, report availability notices, task and check reminders, and fleet maintenance and operations alerts. We send no marketing or promotional text messages.

  • Opt-in. You receive text messages only if you enter your mobile number and check an explicit consent statement on an authenticated page of one of our platforms. Consent is recorded with a timestamp and an audit log entry. Consent is not a condition of using our services.
  • Opt-out. You can stop messages at any time by replying STOP to any message or by removing your consent on the same page where you opted in. Reply HELP for help. Message frequency varies. Message and data rates may apply.
  • No sharing for marketing. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with service providers acting on our behalf solely to deliver the messages you asked for.

When we share information

We share personal information only in three situations: with service providers that help us operate, such as cloud hosting and telecommunications delivery providers, who may use it solely to provide their service to us; with the government organization on whose behalf we operate a platform, which owns its own data; and when the law requires it. Our government customers are subject to open records laws, and information held in their platforms is handled according to those obligations and their retention schedules.

Security and retention

Personal information is encrypted in transit and at rest, access is limited to the people and systems that need it, and consequential actions are audit logged. Our security page describes these practices in depth. We keep personal information only as long as needed for the purposes above or as our government customers' retention policies require, and message logs are retained per each customer's policy.

Your choices

You can opt out of text messages at any time as described above. Platform users can review and update their notification settings on their account's Notifications page. To ask what information we hold about you, request a correction, or request deletion, contact us at the address below; where your account is managed by your government employer, we may route the request through them.

Children

Our services are directed to government organizations and their staff. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.

Changes to this policy

When we change this policy, we update it here with a new effective date. Material changes affecting platform users are also communicated to our government customers.
